02Information we collect
We collect only what we need. Depending on how you deal with us, that may include:
- Enquiry form: your name, email address, phone number (optional), the service you are interested in, and the message you write. We also record the IP address your enquiry was sent from, to help us prevent spam and abuse.
- Emails, calls and messages: the details you share when you email, phone or message us, including through WhatsApp.
- Client and project information: your business and contact details, content, brand assets, account or website access you give us, feedback and approvals, quotes, invoices and payment records.
- Technical information: our hosting provider keeps server logs that record IP addresses, browser type, pages requested and times. We use these to run and secure the website.
- Reviews: we display reviews that are already public on Trustpilot, including the reviewer’s name and country as shown there. Tell us if you would like yours removed from our site.
We do not knowingly collect sensitive information such as health details, and we ask you not to include any in forms or messages.
03How we use your information
We use your information only for the purposes below. UK law requires us to have a lawful basis for each one.
| What we do | Lawful basis |
|---|---|
| Reply to your enquiry and prepare a quote | Legitimate interests (answering the people who contact us), or steps you ask us to take before entering a contract |
| Provide our services, communicate about your project, invoice you and give support | Contract |
| Keep accounting, tax and other records we are required to keep | Legal obligation |
| Keep our website and systems secure, prevent spam and fraud, and enforce our terms | Legitimate interests |
| Send news or offers by email | Consent, or legitimate interests where you are an existing client (“soft opt-in”). You can opt out at any time |
| Show public reviews and completed work in our portfolio | Legitimate interests (promoting our business) |
We do not sell your personal information, and we do not make automated decisions about you that have legal or similarly significant effects.
05International transfers
Some of our providers store or process information outside the UK. Where that happens we rely on UK adequacy regulations or appropriate safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the EU standard contractual clauses.
06How long we keep it
| Information | How long |
|---|---|
| Enquiries that do not become a project | Up to 24 months after our last contact |
| Client contracts, project records and correspondence | For the life of the relationship and 6 years afterwards |
| Invoices and accounting records | 6 years, as required for tax and company purposes |
| Marketing email details | Until you unsubscribe or ask us to delete them |
| Server logs | For the limited period set by our hosting provider |
When we no longer need information, we delete it or anonymise it.
07Keeping it secure
We use sensible technical and organisational measures to protect your information, including HTTPS on our website, limited access to client data and strong account security. No online service is completely secure, so please share passwords and sensitive files with us only through channels we agree, and change shared passwords once a project ends.
08Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information, in some circumstances
- ask us to restrict how we use your information, in some circumstances
- object to us using your information where we rely on legitimate interests
- ask for information you gave us to be provided in a portable format, where it applies
- withdraw consent at any time where we rely on it, for example by using the unsubscribe link in an email
To use any of these rights, contact us at support@nimoxatechnologies.com. We usually reply within one month and do not normally charge a fee.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
10Third-party services and links
To display this website, your browser requests fonts from Google Fonts and a styling script from the Tailwind CSS content delivery network. Like any web request, this sends your IP address and browser details to those providers, who handle it under their own privacy policies.
Our website links to other sites, including WhatsApp, Instagram, Trustpilot and the websites of our clients. We do not control those sites, and their own privacy policies apply once you leave ours.
11Children
Our website and services are aimed at businesses and are not directed at children. We do not knowingly collect personal information from children.
12Changes to this policy
We may update this policy from time to time. The latest version is always on this page, with the date it was last changed shown at the top.
